2016 WNY series

For 2016, BikeReg.com has generously offered to sponsor a cyclocross series for races that use BikeReg.com for registration.

Both the Knox Farm CX and the Park School CX have been using USA cycling for registration exclusively, so the results from those races will not be included in the series scoring on BikeReg.

Cyclocross pit etiquette

Though cross season is winding down for most of us, a few die-hards are gearing up for late-season events and the nationals in Austin. This season there have been quite a few violations of the rules in the pits across races, including some by elite athletes.

Service pits in cross are unique to that discipline. You must stay on the course in a cross race to get to the pit, and if you pass a pit exit, you cannot go backwards into that pit for service, but must continue on the course to the next pit entrance. Most courses have a double pit with entrance/exit on each side, obviously you must exit on the same side you enter. Also, if you enter the pit you can’t just ride through, you must “do something” – stop and work on your bike, or change a wheel or entire bike.

A principle that applies to all disciplines of cycling is that you must make no progress unaccompanied by a bicycle. This rule is a common cause of pit violations – riders have dropped/thrown their bicycle immediately on entering the pit (once hitting the Sram neutral service mechanic!) and then run some distance to where their pit bike was located. That will get you disqualified. How close do you need to bring the bike you’re leaving to where your pit bike is waiting/being held? An International Commissaire told me that the entire exchange must take place within the space allotted to each team for its pit box at a UCI event – 4 meters or about 13 feet. That means at most a step or two between dropping one bike and grabbing another.

Other violations which may get you penalized is dropping or placing equipment in the pit lane (3 meters/10 feet closest to the course tape) and unauthorized feeding, either in the pit when it hasn’t been authorized by the chief referee prior to the race or anywhere else on the course even if feeding is allowed

Applicable rules:

  • 1N10. Competitors may make no progress unaccompanied by a bicycle.
  • 4A15. Feeding is generally not permitted unless specifically authorized by the Chief Referee. If authorized, there is normally no feeding in the first two and final two laps of the race, and a temperature of at least 68 degrees is recommended. All feeding takes place in the pit lane, unless the Chief Referee specifies otherwise.
  • 4C1. A rider may use the pit lane only to change a bicycle or wheel.
  • 4C2. Changing of equipment shall be done at the same point with no advance in the rider’s position.
  • 4C3. A rider passing the pit entrance and continuing beyond the pit exit (yellow flagged area) may not enter that pit, but must continue around the course to the next pit. A rider not passing the pit exit, may enter that pit after dismounting and walking backwards on the course to the pit entrance.
  • 4C4. The exchanging of wheels or bicycles between riders shall be forbidden.

The Park School CX 2014

Announcing a new event for Saturday, November 22, 2014: The Park School CX 2014!

Online registration will be available only through the USA Cycling site.

The race flier with start times is also on the USA Cycling web-site.

The use of USA Cycling instead of BikeReg allows unlicensed riders to buy a one-day license online before the event. Online pre-registration will end at 6pm Friday November 21st.

Pre-registered racers will not need to sign waivers on race day; instead, simply show photo identification and pickup your bib. Riders will be assigned a single bib for all races

This event is being held on the grounds of The Park School of Buffalo, which features three playing fields on two levels, connected by stairs and a closed roadway. There are also forested paths, stairs and a sand pit.  Adding to the speed, racers will do a half-lap around the circular driveway before dismounting for the stairs to reach the upper playing field.

The Park School is located at 4625 Harlem Road in Amherst, New York with convenient access from the I-90 and I-290, making it a quick trip from Rochester or Erie. Race sign-in and bib pickup will be held inside the Rich Family Activity Center, which includes separate locker rooms and showers available to all racers.

Neutral race pit support will be provided by Ryan Malinchak from VeloNRS. Ryan brings spare wheels and all the tools necessary to help racers get their bikes fixed and back in the race.

We hope to see many racers from Erie, Rochester and the Niagara Region of Canada attending this event.

The event will feature CrossMgr computerized race timing, providing spectators with real-time status of all racers and instant results after each race. Every finisher will get a finish line photo. Pictures will be uploaded to Facebook albums for each race. Racers can also use a single bib for all events; no need to change or re-pin bibs. Timing services provided by Jon Rosen Systems. Results will be posted to: www.Results.WNYcx.com/2014

Parking at The Park School is available in two different lots. The Harlem Road entrance provides parking for up to 80 cars. However, since the race course uses the road section, cars will not be able to access the second lot from Harlem Road. Instead, we encourage people to drive down Chateau Terrace from Main Street to access the other parking lot.

Visit the Google Maps link to see the actual planned race course with notes.

A number of changes have been made to the typical race day format to make this event more appealing to racers:

* The first 144 registered racers will receive an engraved commemorative pint glass courtesy of Abino Glass Works.

* Call-ups to the front row in each race will be made for the top 10 racers in each category ranked by USA cycling points. You must pre-register online and have a USA cycling license to be eligible for a call-up.

* Category 5 racers can choose from a 30-minute or 45-minute event, or do both!

* Due to USAC rule 1H5, the 10am, 11am and 12pm races with Category 5 in them are limited to a combined field size of 75 riders.

* The 12pm Cat 4/5 race will be scored separately with awards going to the top 3 in each category rather than combined.

* Mens Category 4 racers have the opportunity to race up to three times in one day: 45-minute Masters, 45-minute SS or Cat4, and 60-minute Cat4.

* New Masters 30-39 category in addition to Masters 40-49 and Masters 50+. All Masters categories will be open to all categories including women, allowing Cat5 racers to enter the Masters age group. Women will not be scored separately.

* Mens Cat 1-2-3 provides a larger field opportunity with additional points if the field is 11 or more racers.

* Equal payout for both mens and womens 1-2-3 categories.

* Special recognition and a prize will be given to the rider with the fastest lap in each race.

* Any Cat4 or Cat5 racers signing up for three races will receive special recognition. The fastest overall Cat4 and Cat 5 racer completing three races will receive a merchandise prize.

* Everyone is invited to attend the annual Buffalo Bicycling Club banquet at 6pm in the Lafayette Hotel! The $20 buffet and cash bar with local beer on tap is a great way to celebrate your race effort.

* Racers that bring their bib to the BBC banquet will get a free drink!

2014 GVCC Classic: Bloomfield Road Race results

Chip timing and photo results for the 2014 Bloomfield road race were provided by Jon Rosen Systems using RFID chips from J-Chip USA and J-Chip equipment owned by the Buffalo Bicycling Club. Results produced from CrossMgr software are posted on www.Results.WNYcx.com.

http://results.wnycx.com/2014/2014-04-13-Bloomfield-r1-.html

In addition to lap times, digital pictures were taken of every rider on every lap and have been posted in albums for each race category on the GVCC Genesee Valley Cycling Club FaceBook.com page.  Results are also posted on BikeReg.com and USAcycling.com.

Results for Everyone

Many of the cyclocross races in WNY have adopted CrossMgr for scoring and results. CrossMgr relies on entering bib numbers every lap to calculate the average lap speed and predict the remaining number of laps.

This detailed lap data provides the basis for a complete picture of the race, showing every riders performance in every lap. This is a big departure from previous methods of scoring, where only the leaders on the last lap were recorded. With all this extra data available, racers can think about races differently:

  • lap data allows lower ranked racers to mark their opponents and compare their performance to peers.
  • gap data shows how far ahead the next racer is by time and distance.
  • lap data allows racers to see if they are getting faster from learning the course or slower from fatigue.
  • compare results between different events on the same course to see if your performance changes on the same course.
  • lap data also shows which riders took chances in a break, and how long the break was maintained.

Having lap data is like getting a chance to look at the cyclocomputer of your competitors and the race leader, giving you wider insight into the entire race. You can find results from some races on http://results.wnycx.com

Progress on WNY cyclocross series

Over the summer of 2013, Ed Sitarski (the creator of CrossMgr software for scoring cyclocross races) released SeriesMgr, a separate software program for scoring race series. SeriesMgr automates the job of combining results from multiple races. SeriesMgr can link to results produced with CrossMgr or an Excel file with race results. However, for the series results to be meaningful, the categories between separate races must be identical.

For an example of the SeriesMgr results, view this link for the 2013 races that were scored with CrossMgr:

http://results.wnycx.com/2013%20WNY%20CX%20series.html

For 2014, races scored with CrossMgr will be added to the series results and posted at each event.

Proposed 2014 categories

Compiling the race results from 2013 into a series highlighted the issue of categories. Many promoters created similar but not identical categories.

http://results.wnycx.com/2013%20WNY%20CX%20series.html

Consistent categories are a requirement for scoring a series.  The following categories are proposed for 2014 races. Each of the following categories would be scored separately and started 30 seconds apart.

Race 1, 45 minutes:

  • Masters 40+ and Masters 50+ (combined start, separate scoring).
  • Women 1-2-3 and Women 4 (combined start, separate scoring).
  • Single Speed and Junior U16 (combined start, separate scoring).

Race 2, 45 minutes:

  • Category 4
  • Category 5/one-day/citizen.

Race 3, 60 minutes:

  • Category 1-2-3
  • Category 4.

For the first race, both Masters 40 and 50 would be started together, all Women started 30 seconds later, and U16 with single speed started last. For the Masters 40+ and Masters 50+, these would be open to all categories rather than limited to category 3/4 racers.

For the second race, category 4 and 5 would be split into two separate scoring groups, allowing category 5 and one-day racers a podium opportunity. These groups would be started 30 seconds apart ensuring they line-up separately. Category 5 men would include both licensed and one-day riders.

For the last race, the Category 1-2-3 combination would yield a larger field than Category 1-2 alone, while the category 4 racers would start 30 seconds later.

Apart from the Ellison Park/UCI event with 300+ riders and Delaware Park with 200 riders, all other WNY CX races attract 85-115 riders. The proposed categories above would be suitable for all WNY CX races except the Ellison Park/UCI race. Conversely, the WNY CX races would not benefit from adopting the category structure used at Ellison Park/UCI.

Proposed 2014 Race Day Schedule

Between 2012 and 2013 there was a 30% increase in attendance at all WNY cyclocross races. These larger fields prompted promoters to switch from 2 events to 3 events per day, moving the Cat 4/5/Citizens group into a second 45 minute race. However, most promoters did not score the Cat4 and Cat5 separately.

For 2013, most promoters followed this format:

Race 1: Masters Men 40+, Masters Men 50+, U16, Women 1-2-3, Women 4, Single Speed. No one-day licenses.

Race 2: Category 4, Category 5 and one-day/citizen scored together.

Race 3: Category 1-2-3-4 in various combinations: Cat 1/2 and 3/4 or Cat 1/2/3 and Cat 4.

While the three category format was an improvement, there were some inconsistencies between promoters, mostly in the 3rd Cat 1/2/3 race. These inconsistencies became obstacles to providing a series result for the WNY races.  Also, some racers found it appealing to enter two or three races, raising the possibility of an Enduro award for the fastest overall 2-race and 3-race participant.

Proposed 2014 schedule:

10am, 45 minute race: MM40 and MM50, 30 second gap, W123 and W4, 30 second gap, U16 and SS.
10:45am; leader finishes
11am; last rider finishes, scoring starts: review DNF and check for missed laps.
11:05am scoring finished, results printed and posted. 15 minute protest starts
11:20: protest period ends, podium awards start
11:30: kids race starts
12pm kids race ends

12pm, 45 minute race: open Cat4, Cat5 (includes citizens and one day licenses)  with 30 second separation.
12:45pm leader finishes
1pm last rider finishes, scoring starts: review DNF and check for missed laps.
1:05 scoring finished, results printed and posted, 15 minute protest period starts.
1:20pm protest ends, podium awards start

1:30pm, 60 minute race: open Cat 123, open Cat4 with 30-second separation.

Jump Start Registration with Call-Ups

Pre-registration for events can become cause for anxiety, with promoters and racers watching the attendance numbers slowly climb. Typically, only half of the racers are registered with one day to go before an event, with the other half registering on the last day.

Adding call-ups to the first 16 riders in each category is an effective way to jump-start registration for an event. Riders are motivated to sign up early when call-ups are assigned in registration order.

Sites like BikeReg.com make implementing this feature easy, since riders can be sorted in order of registration before bib numbers are assigned. At the race start, an announcement is made inviting the first 16 riders to advance to the front.

Free bibs!

Bibs are a necessary expense for races. Choices include plain paper bibs, bibs with sponsors, or fancy fabric bibs. But for low cost, nothing beats free, and RoadID.com will provide free bibs with their logo on them.

While the RoadID bibs are a little on the small side, they are perfectly suitable for cross races; just have racers remove the tear-off strip so they don’t fold over and cover the numbers. Another advantage of the free RoadID.com bibs is that the sponsor logos make it easy to determine if a bib is upside down. With blank bibs, numbers like 68 can be pinned upside to produce a different number.

Having a sponsor name on the bib provides that extra information needed to keep bibs on the right way.

How much does a cyclocross race cost?

Cyclocross races require substantial planning, labor and money to be successful. As a fundraising or for-profit venture, they are not ideal events for making money. While a well run race with 100 racers may net up to $1000 in profit, a basket theme-tray or raffle can make $10,000 with less effort!

For estimating race sizes, BikeReg.com can be useful for finding the history for comparable events previously held on the same day or location.

For new promoters planning their first cyclocross event, here are some typical costs to consider:

  • Event day Insurance: $200
  • Caution tape: $225
  • USA cycling official: $100
  • Broken stakes: $100
  • Prizes and medals: $600
  • Bibs: $75 or free if using bibs supplied by RoadID.com
  • Supplies: $25 (pins, tape, printing forms, signs, etc.)
  • Timing services: $150
  • Food and drinks for volunteers: $75
  • Optional rental fee to land-owner/venue.
  • Optional: $150 for neutral race support from VeloNRS or bike shop support fee.
  • Optional stake rental or purchase.
  • Advertising expenses.

Assuming an expense of $2000 and 85 riders at $30 each, an event can net $500 or more.

Producing Perfect Results Quickly with CrossMgr.

Scoring and producing results quickly for a cyclocross race is one of the most visible and valuable results a promoter can provide racers. Racers expect results to be available within minutes of finishing. For events sanctioned by USAcycling.org, results must be posted for 15 minutes before awards can be presented. Since cyclocross races can consist of multiple categories with lapped riders, the use of scoring software such as CrossMgr is highly recommended.

Producing accurate race results quickly after a race finishes can be a challenge. Surprisingly, most of the issues that prevent a race from being scored promptly are caused by registration problems rather than race data entry problems. After registration problems, the quality of race results are determined by the level of attention and accuracy of the number caller. A distracted number caller will result in missed laps that require investigation and correction.

Consider the example of 30 riders in a 10 lap race. Assuming all riders finish, a total of 300 lap times would be generated. Apart from the finishing lap, any other individual missing lap times can easily be generated by splitting the long lap time. This type of entry error is automatically corrected by CrossMgr, so missing one or more riders during the race has no effect on the results.

Comparing the effect of a single missing lap for a rider to a rider with a bib issue that prevents the rider from being scored, and now the problem is severe. Missing riders affect the finish order, and a single missing rider in a 10-lap race now is equivalent to 10 missed lap times, far more significant than a few missing laps.

The solution to these common problems comes from checking the rider registration data before, during and after the race. These problems can be found and fixed as riders line up at the start line. Bring spare bibs, pins and a permanent marker while inspecting riders for these common problems:

  • missing bib number.
  • upside down bib number.
  • bib number outside race category sequence.
  • bib number on the wrong side, not visible to the number caller or camera.
  • rider with ambiguous bib number: 13, 31, 69 and 96 should be marked to indicate top or bottom.

Other problems may not become visible until the race starts or finishes. These problems typically exist in the Excel registration file.

  • CrossMgr 1.82 and later will detect duplicate and missing bib numbers in Excel and report them in the recommendations page.
  • Riders using a bib number outside the defined category in CrossMgr will not appear in the results until assigned a category.  Riders with recorded times that do not appear in the results will be listed on the recommendations page in CrossMgr.

When reviewing the race results, riders with a mechanical delay that exceeds the time length of one lap may be automatically assigned a missing lap by CrossMgr. Having an official in the pit and comparing the pit report after the race is necessary to avoid giving an extra lap to riders with a lengthy mechanical delay.

Riders that abandon the race without passing the start/finish or notifying the timer may also end up with automatically created lap times by CrossMgr. Riders should be reminded at the line not to abandon the course until they have passed the start/finish, where they should announce DNF.

Registration problems can be prevented by using a printed start list by category and a pre-printed form for tracking additional racers that registered the day of the event.

Neutral Support Pit Services

CX promoters can enhance their race with neutral pit support provided by Ryan Malinchak and his company, VeloNRS. Racers benefit from having an expert technician available at the race to ensure they can compete and complete. In addition to a tent and tools, he brings a variety of spare wheels and trainers. All of these services are free to racers

Ryan is also a licensed USAC mechanic.
